1. Introduction

This Cancellation Policy (“Policy”) sets out the terms governing cancellations of bookings, rentals, tenancies, maintenance services, and other property-related services made through the platform operated by HavenX Technologies Sdn Bhd (“HavenX,” “we,” “us,” or “our”).

HavenX acts solely as a technology platform and payment facilitator and does not own, lease, manage, or operate any property, nor does it enter into tenancy, booking, or service contracts with users.

By using the platform, you acknowledge and agree to this Policy.

2. Related Operating Companies

The platform facilitates services and transactions for the following related companies (collectively, the “Operating Companies”):

• Urban Room Sdn Bhd (Company No.: 1458396-U)
• The Luxford Stay Sdn Bhd (Company No.: 1542627-P)
• Marque Asset Management Sdn Bhd (Company No.: 1656841-M)
• Urban Room Enterprise (Business Reg. No.: PG-0496840-D)

All cancellations are governed by the agreements entered into directly between users and the relevant Operating Company.

3. General Cancellation Principle

• All cancellation rights, eligibility, timelines, penalties, and consequences shall be strictly governed by the applicable offer to rent, booking confirmation, tenancy agreement, service agreement, or appointment confirmation executed with the relevant Operating Company
• HavenX does not have authority to approve, reject, or vary cancellation terms and shall not be liable for cancellation outcomes

4. Booking Cancellations

• Bookings may be cancellable or non-cancellable depending on the terms stated in the applicable offer to rent or booking confirmation
• Booking fees may be forfeited where non-cancellation or non-refund clauses apply
• Where cancellation is permitted, any refund (if applicable) shall be subject to the agreed contractual terms

5. Rental & Tenancy Cancellations

• Cancellation or termination of rental or tenancy arrangements shall be governed solely by the tenancy agreement or rental contract
• Early termination, no-show, or breach-related cancellations may result in:
  • Forfeiture of rental payments or deposits
  • Imposition of penalties
  • Other consequences as stated in the agreement
• HavenX shall not be responsible for enforcing or interpreting tenancy agreements

6. Maintenance & Service Appointment Cancellations

• Maintenance or service appointments may not be cancellable once scheduled, unless otherwise expressly stated
• Where cancellation or rescheduling is allowed:
  • Requests made with less than twenty-four (24) hours’ prior notice may incur additional transportation, administrative, or service charges
  • Maintenance fees remain non-refundable once an appointment has been set, regardless of service completion
• Users are deemed to have accepted these terms upon confirmation of the appointment

7. Other Property-Related Cancellations

Cancellations relating to other property-related services or fees (including administrative, utility, or ad-hoc services) shall be subject to:

• The applicable agreement or written notification
• Any penalties, charges, or forfeiture stated therein

8. Effect of Cancellation on Refunds

• Cancellation does not automatically entitle a user to a refund
• Refund eligibility, if any, shall be determined in accordance with the Refund Policy and the applicable agreement with the relevant Operating Company
• Approved refunds will follow the processing timelines stated in the Refund Policy

9. Limitation of HavenX’s Role

For the avoidance of doubt:

• HavenX is not a contracting party to any booking, rental, tenancy, or service agreement
• All cancellation requests, disputes, or claims must be directed to the relevant Operating Company
• HavenX shall not be liable for losses, penalties, or disputes arising from cancellations

10. Policy Updates

HavenX reserves the right to amend or update this Policy at any time. Updates will be published on the platform, and continued use constitutes acceptance of the revised Policy.
